2007 Form 941, 941A, and 941B

The Problem:

As of this date, the IRS has not issued a revised Pub 4436 to incorporate the modifications contained in the January, 2007 revision of the Official 941 form.   The differences between the January 2006 and January 2007 form are not substantial, and involve only the formatting of a few optional entries on page 2 of the 941.   We had anticipated a change would be coming in January 2007, and wrote the 941 program to expect new form image files for 2007.  When the operator used the 941 program in 2007, the program will complain that the 2007 files are not found when an attempt is made to print the 941 or 941B forms..

The Solution:

Until the IRS revises Publication 4436 (latest issue is dated May, 2006), the forms produced according to this specification can still be used.  In order to adjust DATASMITH Payroll so that it will continue to use the existing 941 images until they are revised, use the following procedure: 

1. Change the name of  the file 941.06  to 941.07
2. Change the name of the file 941A.06 to 941A.07
3. Change the name of the file 941B.06 to 941B.07

To change the file names, exit PAYROLL and use the file explorer (START-> Right Click -> EXPLORE) to find each of the files in the DATASMITH Payroll Program directory (normally this will be  C:\PAYROLL).  Highlight the file to be renamed, and right-click it.  A menu will open: click the RENAME option.  The current name of the file will be highlighted in a box: simply retype the name with the new ".07" extension.   This will allow your system to use the existing image files for the balance of 2007.

If you are having trouble finding your DATASMITH Payroll Program directory, start your DATASMITH PAYROLL system.  While on the Main Menu, hit the {f5} function key to obtain the Master File Status Report window.  In the middle of this window, you will see a line entitled "Program Directory" which will identify the DATASMITH Payroll program directory in your installation.  Note the location of the directory and exit Payroll to make the changes above.
